Description
Offshore Legal has been instructed to source an experience CRM System and BD Coordinator to conduct the administration and assist with the on-going development of the firm’s CRM system (InterAction). This person will analyze and resolve CRM program issues in a timely and accurate fashion as well as hold responsibility for monitoring data quality. The CRM System and BD Coordinator will also apply proven communication and problem-solving skills to guide and train the user group on issues related to the design, development, and deployment of CRM software critical to business operations. Excellent administrative, interpersonal and organisational skills are required. The Coordinator will also have part in the Americas BD team, performing a variety of support functions involving client relationships and related data. The role will require a 65:35 split between the CRM system and business development initiatives.
KEY RESPONSIBILITIES
Working with the Group’s Marketing and IT Development Teams, the CRM System and BD Coordinator will be responsible for the following:
- Full time responsibility of monitoring the quality of contacts within the firm’s CRM system, including processing the Data Change Management tickets.

- Develop, execute and maintain data clean up and maintenance strategies to ensure a high level of data integrity.
- Create and maintain effective methods of retrieval of information for all attorneys from the CRM system.
- Management of advisory and event-related Tikit mailings.
- Assist in the management of licensing and software deployment.
- Develop a basic understanding of the firm’s Business Development and Marketing initiatives in order to utilize the CRM system to improve the accuracy and quality of data presented to attorneys for use in those initiatives.
- Create custom reports when needed for use in the development of Business Development and Marketing strategies.
- Assist with data steward tasks such as entering contact data and meeting notes, as required.
- Oversee the production and timely communication of the global marketing activities report.
- Manage and be a point of contact for the firm’s data resources across different offices and provide bespoke, business-focused training as necessary.
- Produce guidance notes to aid data stewards in being more effective in data entry.
- Ability to retrieve statistics and trends from the data housed in the CRM System and from that assist with the decision making process of ways to improve the firm’s marketing strategies.
- Performing other operational functions as required.
GENERAL RESPONSIBILITIES
- Work closely with Attorneys, the Marketing team and secretaries to ensure a high level of accuracy for all key data within the CRM system.
- Follow up with data stewards on missing contact information.
- Serve as the main point of contact for attorneys/data stewards for questions associated with the CRM system.
- Develop a basic understanding of the firm’s Business Development and Marketing initiatives in order to utilize the CRM system to improve the accuracy and quality of data presented to attorneys for use in those initiatives.
Candidates must possess a marketing or business degree and 7+years relevant experience in a legal environment. Previous exposure to offshore legal services will be an advantage as will a working knowledge of internet business resources.
