Description
Offshore Legal has just been instructed to source a CorpAdmin/CoSec Manager for another one of our major clients in Bermuda.
Purpose:
To lead, direct and support those supervised ensuring that timely and efficient corporate administration services are provided to clients and to provide corporate administration services to a portfolio of clients.
Principal Duties and Responsibilities:
- Ensuring that the highest quality of corporate administration services is delivered
- Providing the full range of corporate administration services to a portfolio of clients as outlined in the Corporate Administrator’s job description
- Reviewing corporate records of companies proposing to transfer to ASBL
- Allocating appropriate client portfolios to staff and rebalances portfolios as necessary
- Identifying and recommending operating and administrative measures designed to improve performance and the efficiency of the delivery of corporate administration services
- Providing to the Director – Corporate Services reports related to issues with time recording, variance billings, accounts receivable, AGMs, staffing, portfolio allocations, etc. and any other such reports as requested by the Director
- Assisting with the setting of minimum annual fee levels
- Monitoring accuracy and reliability of ViewPoint data
- Providing guidance and technical support to Corporate Administrators on corporate administration matters
- Assisting with mentoring new Corporate Administrators ensuring that they receive on-the-job training, adequate technical support, supervision and timely performance feedback during the mentoring period
- Monitoring the collection of accounts receivable and provides guidance to staff as required
- Assisting staff with variance billings to meet preset deadlines
- Ensuring that staff enter timesheets as expected and meet required targets
- Monitoring and controlling AGM and annual Government fee processes and the timely production of minutes
- Conducting interim and annual performance appraisals
- Instituting and overseeing performance improvement processes
- Planning and co-coordinating portfolio coverage during staff absences
- Holding regular (no less frequently than monthly) staff meetings
- Identifying and recommending seminars, workshops, lunch and learn sessions and other work related courses in support of continual professional development for team members
- Assisting Management with the general administration of client and ASBL processes
- Promoting an atmosphere of cooperation, teamwork and support within the team
Ideally candidates will have a law degree and ICSA qualification as well as a minimum of 8 years Company Secretary experience, of which at least 3 should have been in a Management role(s). Candidates possessing one or other, in addition to the relevant experience, are also strongly encouraged to apply.
